Client Schedule Coordinator

PureDropIV is a women owned, nurse owned and operated concierge IV Therapy company delivering the benefits of intravenous hydration therapy directly to individuals, groups, parties, or private events, wherever they are. Our registered nurses administer customized formulations of essential fluids, electrolytes, vitamins, and antioxidants designed to help our clients reach and maintain optimal health, peak performance.

PureDropIV has quickly gained traction as a way for clients to reach their goals of living a healthy and balanced lifestyle. IV Vitamin Therapy provides essential vitamins and nutrients directly to the bloodstream, bypassing the GI tract, and therefore delivering nearly 100% of these essential nutrients and vitamins directly to the cells of the body, where they are needed the most!

We are seeking a highly organized and flexible individual to join our team as a Client Schedule Coordinator. In this role, you will be responsible for managing nurse schedules, setting appointments, performing administrative duties, and ensuring efficient coordination of client mobile IV Therapy appointments. Your ability to thrive in fast-paced environments, multitask effectively, and display professional communication skills will be crucial to your success. The ideal candidate will have 1-2 years of admin professional experience and the ability to work independently. 

With the company’s exponential growth and expansion into new markets, the role of Client Schedule Coordinator will be vital to sustain our current and prospective client portfolio. In this role, you will serve as a crucial link between clients, nurses and internal staff. Your professional communication skills will be essential in maintaining open and clear channels of communication. By promptly responding to inquiries and concerns, you will instill confidence in clients and provide them with the necessary support. Your customer service-oriented mindset will ensure that clients feel heard and valued, fostering positive and trusting relationships.

By performing various administrative duties, such as data entry, record maintenance, and file organization, you will contribute to the overall efficiency of our operations. Your meticulous attention to detail will guarantee accurate documentation and proper management of client information. This attention to detail will also help you anticipate scheduling conflicts and find appropriate solutions, minimizing interruptions and keeping the everyday flow of operations intact.

The ideal candidate would meet the following criteria:

The ideal candidate should possess strong interpersonal skills and be capable of maintaining a positive and courteous demeanor when interacting with clients, healthcare professionals, and colleagues..
  • Organizational Abilities – The candidate should have exceptional organizational skills to manage multiple projects, prioritize tasks, and meet deadlines.
  • Multitasking Abilities – Given the fast-paced nature of the role, the ideal candidate should have strong multitasking abilities. They should be capable of handling high volumes of appointments, managing conflicting demands, and adjusting schedules to accommodate urgent or changing client needs.
  • Customer Service Orientation – A customer service-oriented mindset is highly desirable. The ideal candidate should be empathetic, compassionate, and dedicated to providing exceptional service to clients. They should be able to handle inquiries, requests, and concerns promptly and effectively.
  • Team Player – Collaboration and teamwork are essential in this role. The ideal candidate should be able to work well within a team, effectively communicate with diverse stakeholders, and contribute to a positive work environment.

Duties & Responsibilities:

  • Set appointments for clients, ensuring optimal scheduling and efficient use of resources.
  • Monitor and adjust schedules to accommodate urgent or changing client needs.
  • Communicate with clients to confirm appointments, gather necessary information, and address any inquiries or concerns.
  • Maintain accurate and up-to-date records of client schedules and appointments.
  • Perform various administrative duties, including data entry, record maintenance, and file organization.
  • Assist in managing client information and documentation, ensuring confidentiality and compliance with privacy regulations.
  • Prepare and distribute necessary forms, documents, and reports related to client scheduling and appointments.
  • Communicate and collaborate with internal management team to facilitate seamless operations.
  • Utilize software systems and tools to manage and track client schedules and appointments.

 

Qualifications:

    • High school diploma or equivalent (additional education or certifications in healthcare administration is a plus).
    • Proven experience as a schedule coordinator or similar role in a medical or in-home medical environment.
    • Familiarity with fast-paced environments, multitasking, and managing high volumes of appointments.
    • Strong organizational skills, attention to detail, and ability to prioritize tasks effectively.
    • Proficient in using scheduling software, databases, and Microsoft Office Suite.
    • Excellent professional communication skills, both verbal and written.
    • Customer service-oriented mindset with the ability to maintain composure in challenging situations.
    • Knowledge of medical terminology, procedures, and confidentiality regulations.
    • Adaptability and flexibility to accommodate changing schedules and client needs.
    • Ability to work well in a team and collaborate with diverse stakeholders.
    • Compassion, empathy, and understanding when dealing with clients in medical or in-home medical settings.
